Configuration

Click License Numbers to add, view and delete License numbers. The License numbers configured here will be generated accordingly, when Annual Passes are sold at DNREC Office, Park, through Agents and Internet.

Click Standard Codes to add, view, edit and deactivate standard codes. You can set the list of possible values called as "Code Set" or "Pick List" for key business elements that is used in the system. The Standard Codes include Contact Type, Customer Type, Sales Order Status, Program Type, City, County, Public License Type and Location Type. You cannot delete Standard codes; you can only deactivate the standard code using edit option. You can add new standard codes for Contact Type, City and County. Customer Type, Location type, Sales Order Status, Program Type and Public License Type can only be edited.
Click System Parameters to can set system parameters that would alter the run-time behavior of the system. These parameters include Agent Payment 1, Agent Payment 2, Annual Pass End Date, Environmental Student Number per Chaperon, Program Payment Due Date Days, Number of Visible Rows in table, Hold Time for Session and Waitlist Value.
Click E-Mail Message to configure email messages. You can configure the emails to be sent to the users when they complete their transaction. Emails will also be sent to the applicants and admin when a program is postponed or cancelled. When the registration status is updated relevant status email will be sent to the applicant(s). When DNREC Staff forget his / her password the email message configured for "Forgot Password" topic will be emailed to the user by the system.
Click Location to add DNREC office and park locations. The additions or changes made here will reflect in Admin (Users, User Groups, Forms & Checklists, Programs and Registrations), Sales Program registration and Public Program Registration sections.
Click Shipping Policy to configure shipping policies. The details configured here will be displayed in "Order review and place your order" page in the Public, Agents and Parks and Recreation Sales module.
Click Transaction Policy to configure transaction policy. The details configured here will be displayed in "Order review and place your order" page in the Public, Agents and Parks and Recreation Sales module.
Click E-mail Broadcast to send bulk mails. Using this feature you can either broadcast the Email Message to each group such as DNREC Officer, Park Officer, Agent, PR Public, Program Public or to more than one group or to all the groups.
Click Home Content to configure the content to be displayed in the home page of Parks and Recreation Sales home page, Admin Configuration home Page, Admin Park Passes home Page, Admin Reports home page, Admin Security home page, Admin Audit Log home page, Public State Parks home page, Admin Programs home page and Sales Programs home page.

Configure License number
Click License Numbers to add, view and delete License numbers.
The License numbers configured here will be generated accordingly, when Annual Permits are sold at DNREC Office, Park, through Agents and Internet.

Allocate new License number
»
You can allocate license numbers for Annual Passes and Surf Fishing Licenses to be sold at the Sales Parks, DNREC Office, Agents and Internet. Only after allocation of License Numbers the license will be available for sales at Sales Parks, DNREC Office, Agents and Internet.
Before you proceed with the allocation of licenses, ensure to do the following tasks.

Choose Configuration > Standard Codes. Select "Public License Type" from the Standard Code Type and add the required license type(s). This will be populated in "License Type" field.
»
Choose Configuration > Location. This will be populated in "Location" field.
»
Choose Park Passes and add the licenses and passes. This will be populated in "License Name" field.
»
Choose Agents and add agent(s). This will be populated in "Agent" field.
   
To allocate License Numbers for the licenses to be sold at Parks & Recreation Sales and DNREC Office:
1. Select Park/DNREC Office category
2. Select Location
3. Select License Type
4. Select License Name
5. Click Allocate New button.
  In the License Number Allocation pop up window:
6. Enter the License start number for the number series in "First Number" box.
7. Enter the License end number of the number series in "Last Number" box.
8. Click Save button.

For example, if the Location is Brandy Wine, License Type is Annual Pass, License Name is Resident Annual Pass, First Number is 001 and Last Number is 100, then 100 Resident Annual Pass can be sold at Brandy Wine Sales Park.
   
To allocate License Numbers for the licenses to be sold at Agents site:
1. Select Agent category
2. Select Agent
3. Select License Type
4. Select License Name
5. Click Allocate New button.
  In the License Number Allocation pop up window:
6. Enter the License start number for the number series in "First Number" box.
7. Enter the License end number of the number series in "Last Number" box.
8. Click Save button.
   
To allocate License Numbers for the licenses to be sold at Public site:
1. Select Internet category
2. Select License Type
3. Select License Name
4. Click Allocate New button.

Configure Standard Codes

If the pre-requisite id is Surf Fishing for Annual Pass, it becomes mandatory to buy or sell Annual Pass only if purchased along with Surf Fishing Pass or the applicant must have already purchased Surf Fishing Pass.

Maximum Quantity denotes the maximum number of passes the applicant can purchase.

Only if Agent Channel is checked, the agents can sell passes in Agent's site.

If "Print Online" is checked, the applicant can print the license after completing his/her purchase.

Edit Standard Code
1. Click E button.
2. Select "Standard Code Type"
3. Edit details.
4. Click Save button to save the updated information

Delete Standard Code
1.
Select "Standard Code Type"
2.
Select the Standard Code you want to delete. If you want to delete all the Standard Codes displayed in that page, Click Check All, to deselect all the Standard Codes click Clear All.

Click Delete button.

The selected Standard Codes chosen for deletion will be highlighted and displayed in the next page.

You have the option of deselecting the Standard Code if you do not want to delete.
4.
Click Delete button to delete the selected Standard Code.
Or
Click Cancel button to move to the previous screen.

Customize System Parameters
You can set system parameters that would alter the run-time behavior of the system. These parameters include Agent Payment 1, Agent Payment 2, Annual Pass End Date, Environmental Student Number per Chaperon, Program Payment Due Date Days, Number of Visible Rows in table, Hold Time for Session and Waitlist Value.

The values set for each System Parameter is shown here. Click Modify button to edit the values.
 
Agent Payment 1
»
Set to Default will set the default value as 1. Click Save button to update this value.
»
To modify this value select a new value in New Value box and click Save button.
»
This date will be shown as First Payment Date for Agents Payment schedule. You can modify this date for each agent in Agent's module.
   
Agent Payment 2
»
Set to Default will set the default value as 16. Click Save button to update this value.
»
To modify this value select a new value in New Value box and click Save button.
»
This date will be shown as Second Payment Date for Agents Payment schedule. You can modify this date for each agent in Agent's module.
   
Annual Pass End Date
»
Set to Default will set the default value as October - 31. Click Save button to update this value.
»
To modify this value select a new value in New Value box and click Save button.

After this date, the passes configured for the current year cannot be sold.
   
Environmental Student Number per Chaperon
»
Set to Default will set the default value as 8. Click Save button to update this value.

To modify this value enter a new value in New Value box and click Save button.

When the applicant purchases an Environmental Ed program, for 8 students 1 Chaperon is free.
   
Program Payment Due Date Days
»
Set to Default will set the default value as 7. Click Save button to update this value.

To modify this value enter a new value in New Value box and click Save button.

For Environmental Ed there is no online payment. For Camp and Public programs if the applicant is on waitlist or if the purchase value is less that $11.00 then there is no online payment. In such cases an invoice will be generated in which the payment due date will be mentioned. For example if the value is 5, and if the program start date is 03/31/2004, the payment due date would be 03/26/2004.
   
Number of Visible Rows in table

Set to Default will set the default value as 5. Click Save button to update this value.

To modify this value enter a new value in New Value box and click Save button.

Based on the value the number of rows will be displayed in the tables throughout the Parks & Recreation Admin module.
   
Hold Time for Session
»
Set to Default will set the default value as 15 minutes. Click Save button to update this value.

To modify this value enter a new value in New Value box and click Save button.

In public and sales site after providing the brief information, this hold time will be activated. The applicant must complete the transaction within this time. If seats are not available after the session time the blocked seats will be released. But if seats are still available, then the seats will be still available for the applicant though the session time gets completed.
   
Waitlist Value

Set to Default will set the default value as 100%. Click Save button to update this value.
»
To modify this value enter a new value in New Value box and click Save button.
»
In the public site after the available seats are completely booked, the applicants will be kept on waiting list. This value id determined based on the percentage provided here. If the admin has allotted 200 seats for a program and if the Waitlist Value is 50%, then 100 seats will be allowed to be on waitlist, after this quantity is complete no more registration will be allowed. This again is applicable only if the provision for Waitlist is provided for the Program(s).

Set All to Default button will set all System Parameters to its default value.

Configure E-Mail Message
You can configure the emails to be sent to the users when they complete their transaction. Emails will also be sent to the applicants and admin when a program is postponed or cancelled. When the registration status is updated relevant status email will be sent to the applicant(s). When you click on Send Email button in Programs > Registration section, the message configured for 3 Week Reminder will be sent to the applicant. Similarly, the message configured for 2 Weeks and 1 Week Reminder will be sent to the applicant when Send Email button is clicked in Programs > Registration section.
   
Topic Program Order Status
Message Payment Reminder, Payment Received, Accepted, Rejected

In Programs > Registration section when the status is updated to Payment Due, the message configured for Payment Reminder will be sent to the applicant's email id. Similarly, when the status is updated to Payment Received, Accepted, Rejected the message configured here will be sent to the applicant's email id.

For example if the Merchandise Item(s) alone amounts to $30.00, Annual Pass amounts to $25.00, Surf Fishing License amounts to $20.00. For Example, if "Configuration Home page" is selected from the Content type list, the content will be displayed in Parks & Recreation Admin Configuration main page.
 
You can make use of the icons listed below to display the content with color and graphics:
Cuts the selected text. You can then paste this text elsewhere in the content box
Copies the selected text. Highlight text by placing your cursor at the beginning of the area you'd like to copy to the end of the required content. Once the text is highlighted, click the Copy icon.
Pastes the copied text. Place your cursor where you would like the text to appear and click the Paste icon.

Changes the font face of selected text. You can combine various fonts within a sentence or paragraph by highlighting different sections of text
Controls the font size of your text. 1 is the smallest; 7 is the largest.

Highlight the text you wish to make bold and click the B button.

Highlight the text you wish to italicize and click the I button.
Highlight the text you wish to underline and click the U button.
Allows you to select a font color. Highlight the text you wish to appear in a different color and select from the color palette. You can also select the font color first, then start typing and the color will be applied to what you type.

Allows you to select a background color of the text.

Lets you insert a web site link
Choose from flush-left, centered, or flush-right text alignment.

Create bulleted or numbered lists.

Place the cursor where you would like to move the text to the left and click the Decrease Indent button.

Place the cursor where you would like to move the text to the right and click the Increase Indent button.

Click button Save to save the information entered

After formatting the content, if you want to preview before saving click Preview button and then click Save button. If you want to make some changes click Back button to move to the previous page.
